Account Information

When you create an account, we collect:

Content You Create

When you use FieldFlow, we store the content you create, including:

  • Football plays, formations, and playbook data
  • Practice plans and install cards
  • Sheets
  • Quizzes and quiz results
  • Calendar events and schedules
  • Files and documents you upload
  • Chat messages within your team

Usage Information

We automatically collect:

  • Login timestamps and session information
  • Activity logs (actions you take within the Service)
  • Device and browser information for security purposes

Payment Information

Payment processing is handled by Stripe. We do not store your full credit card number. Stripe collects and processes payment information according to their Privacy Policy. We receive and store your Stripe customer ID, subscription status, and billing history.

We use your information to:

  • Provide, maintain, and improve the Service
  • Process your subscription and payments
  • Send transactional emails and SMS messages (account verification, password resets, team invitations, subscription updates)
  • Respond to your support requests and inquiries

3. SMS/Text Messaging

FieldFlow may send SMS text messages to your phone number for the following purposes:

  • Password Reset: When you request to reset your password via SMS, we send a one-time link to securely reset your password.
  • Team Invitations: When a coach invites you to join their team using your phone number, we send a one-time invitation link.

Opt-In

You opt-in to receive SMS messages by providing your phone number on our password reset page or when a team administrator enters your phone number to send you an invitation. All SMS messages are transactional and initiated by user action.

Opt-Out

You can opt out of SMS messages at any time by replying STOP to any message. You may also contact us at support@fieldflow.us to opt out.

Message Frequency & Rates

Message frequency varies based on your account activity. SMS messages are only sent when you request a password reset or receive a team invitation. Standard message and data rates may apply depending on your mobile carrier.

4. Your Data is Private

Your content belongs to you. Your data is never public, will never be sold, and will never be shared with third parties for marketing or advertising purposes.

We only share information in these limited circumstances:

  • Within Your Team: Content you create is shared with members of your team based on their roles and permissions.
  • Service Providers: We use trusted third-party services to operate FieldFlow (see Section 4).
  • Legal Requirements: We may disclose information if required by law or to protect rights, safety, or property.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred.

5. Third-Party Services

We use the following third-party services to operate FieldFlow:

  • Microsoft Azure: Cloud hosting, database storage, file storage, and email delivery
  • Stripe: Payment processing and subscription management

These providers have their own privacy policies and are contractually obligated to protect your data.

6. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encryption of data in transit (HTTPS/TLS)
  • Secure password hashing
  • Access controls and authentication
  • Regular security reviews

While we strive to protect your information, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. When you delete your account:

  • Your account is disabled immediately
  • Your data is archived and can be recovered if you log back in
  • We retain minimal records for legal and business purposes (e.g., payment history)
